To access to the Koonto platform you first need to pre-register by just filling the online form. You will be contacted shortly after by our Customer Service to define the licencing agreement that best suits your needs. All communications will be in English or Italian, based to the culture selected in pre-registration. Be aware that Dag Sistemi S.r.l.s., owner of Koonto, releases licences to use the Koonto platform only to legally and fiscally recognized commercial activities. Under no circumstances will licenses be granted to individuals or non-commercial entities. At the end of the contract stipulation and license activation process, your account will be activated and will stay active for the entire for the entire duration of the license, except in cases of early termination due to serious contractual breach.
To access your Koonto account you simply need to enter your Customer Code, the UserName and the Password assigned to you upon registration. We recommend that you change your password the first time you log in. The access mechanism used by our platform provides the possibility of obtaining a new password if you have forgotten your current one. Furthermore, for obvious security reasons, after 5 failed and sequential access attempts, an access block will be placed and you will have to contact our customer service who will proceed with the unlocking. An additional security procedure does not allow you to have two or more sessions open at the same time for the same account user. In this case the main user, i.e. the one defined during registration, will be able to unlock using a code that is sent to the registered email.
Once logged in you will be taken to a menu page which shows the access windows to the various sections of the platform. Based on the privilege level associated with the user who logged in, the sections may be all or only partially accessible. If the user has the highest level of privileges, as in the case of the main user, all sections will be accessible. In the case of "Partial" or "Minimum" privileges, only some specific sections can be reached and the others will be forbidden.
The first access will be possible only to the main user, that is the owner of the commercial activity or a manager identified by him/her. To register new users (in a maximum number defined by the chosen package), the main user must access the "Control Panel" section, fill a �New User� form for each person or role you want to give access to the platform, for example a cook, a manager, a waiter, a cashier. User data requires the insertion of a username, password, role and level of privileges. Be aware that only those users with the highest privilege level will subsequently be able to see, modify or even remove the data of all other users except the main one.
By accessing the "Hall Management" section you can design the floor plan of the room(s) of your restaurant. Koonto provides two floor shapes, rectangular or elliptical hall. For each of them you can set the width/height length or minor/major axes length, all in metres. Koonto provides a selection of rectangular or round shaped tables, selectable by size and number of seats. Furthermore, you can select counters, buffets and even access doors to the hall. Each element can be moved to the desired position by dragging and can be rotated or constrained to a fixed position. You can also join and separate tables. All these settings are applicable both to the standard configuration of your hall and to temporary configurations based, for example, on booking dates or special events.
In the "Categories" section it is possible to view the lists of furnishing elements and tables, with the possibility of modifying only the size of the furnishings. Furthermore, you may access viewing, modification and insertion of operating shifts and discounts, as well as commercial parameters such as the table cover price or the service percentage.
The Shifts section, which can be accessed from the "Categories" section, allows you to view, modify and set new operating shifts. In fact, you may want to divide the exercise day into periods that allow you to manage reservations carefully. The insertion of a new shift is obtained by filling a dedicated form. You can set the main range of the shift (breakfast, lunch, dinner), the start and end times, the width of the booking acceptance grid (an interval of at least 30 minutes through which a shift is further divided).
The Discounts section, which can be accessed from the "Categories" section, allows you to view, modify and set new discounts applied in given periods, types of menus or dishes, or to specific customers. For a given type of discount you can set the type (simple discount, promotion, fidelity discount, web channel discount), the percentage, the start and end date of validity, any week-days and/or shifts in which the discountis applied, which menu categories the application of the discount is limited to.
The �Booking� section can be reached from the main menu page. It is possible to either insert new reservations for an entire hall in a given shift, or for individual tables in a given hall and shift. In the case of booking an entire hall, after entering the shift and date you will be moved to the floor plan page of the chosen hall where you can reconfigure the tables only for the booking being inserted. Similarly, in the case of booking one or more tables, after selecting the hall, shift date, booking slot and number of seats, you are transferred to the hall floor page where you select the table or tables to be reserved.
By accessing the "Booking Management" section you can view the archive of registered customers and modify data such as name and contact details. In the same section you can view the reservation archive for both halls and tables. Also in this case you can make changes such as inserting notes and updating the booking status (cancelled, completed).
The heart of the platform is the "Daily Hall Management" section, where the orders of the day (still open or already closed) and the table bookings of the day appear. In particular, from the area dedicated to open orders it is possible to open a new order and proceed with inserting the dishes. Similarly, by selecting an open order you can view the dishes ordered and proceed with adding new ones. In the relevant sub-section you can proceed to check-in a reservation and create the corresponding order.
From the active order management area you can access a selected order and are transferred to the page for selecting dishes and drinks, where the keyboard for various menu categories is shown (for example, Starters, First courses Dishes, Wines, etc.) together with the corresponding dishes keyboard. For each dish selection you can enter the number of courses, or the quantity by weight where applicable, any additions or removals if permitted, and the degree of cooking. In a section of the page, the cost values relating to the order are updated in real time. And in the same area a link allows you to the checkout to complete the service and define any additional discounts and payment methods. Completion of the counting and payment selection phase sends the billing data to the cashier printer. It should be underlined that sending an order to the kitchen printers does not involve closing the order itself, which can therefore be reopened from the desktop or from a mobile/Ipad at any time for further integrations. The closing of an order occurs automatically after payment or by forcing it from the order management table.
The "Menu Management" section is dedicated to setting up all the elements that come into play in the organisation, drafting and management of the standard menu(s). You can enter the production departments in which the courses are made (for example, Bar, Pizzeria Kitchen 1, Kitchen 2, etc.). Menu categories can be defined, such as Starters, First Courses, Second Courses, Wines, Desserts, etc. You can build the list of units of measurement, which is used when building the menu, and which contains units such as Gram, Kilogram, Liter, Number or else. Of great importance is the area of management and insertion of the basic products which the menu dishes are prepared with. This table contains raw materials such as oil, pasta of a given type, flavourings, cuts of meat, etc., together with the corresponding unit costs. In this way a clear indication can be obtained of how much a given recipe costs in terms of ingredients and how much the profit margin associated with the dish are. However, it should be noted that the management of basic products is NOT the management of the product warehouse. In the area dedicated to setting the dishes you can create the various desired recipes and assign a selling price to each. Similarly, in the Complete Menus area you can set predefined menus, assigning them selections of dishes and drinks to choose from and the sales price.
By accessing the "Basic Product Consume Management" section it is possible to control the consume of each basic product by a given production department and in a given date range. Consume is calculated based on the dishes actually sold (starting from the relevant recipes) and therefore allows a comparison with the corresponding warehouse data.
In the "Statistics" section it is possible to obtain, in graphic form and for a selected period, an overview of accesses for each and all users, an overview of desk and/or online bookings, diagrams relating to the order statistics and number of served clients for each operator, the rankings of menu categories and of the most chosen dishes.
